# Does CarFast take a commission on bookings?

No. CarFast car rental software charges no commission on your bookings. Unlike many car rental platforms that take a percentage of each reservation, CarFast uses a flat monthly fee based only on which vehicles were actively rented. You keep 100% of your rental revenue.

The pricing structure is straightforward: you pay per vehicle that had at least one reservation during the month, plus a €20 minimum if your total usage falls below that threshold.

## How much does rental software cost?

CarFast pricing is usage-based with no hidden platform fees or revenue sharing:

| Item | Monthly cost |
|---|---|
| Car with ≥1 reservation | €3 |
| Motorcycle / Quad with ≥1 reservation | €2 |
| Bicycle with ≥1 reservation | €1 |
| Email sync (booking form forwarding) | €0.10/sync |
| Monthly minimum | €20 |

You only pay for vehicles that generated at least one booking. If a vehicle sits idle for the month, it costs nothing.

## What are the hidden fees when renting a car?

CarFast has no hidden fees for operators. There is:

- **No per-booking fee** — regardless of booking value
- **No percentage of rental income** — you set your rates and keep everything customers pay
- **No platform markup** — CarFast never touches the money your customers pay you
- **No payment processing fee** — the software does not process payments

The rates you charge renters are entirely under your control. CarFast has no visibility into customer payments and takes no cut of your rental transactions.

If you operate 10 cars and all 10 rent at least once in a month, you pay €30 that month. If only 5 rent, you pay €20 (the minimum).

## What software do car rental companies use?

Car rental operators typically choose between commission-based platforms and flat-fee management software.

Commission-based platforms take 10–25% of each booking in exchange for providing the software and sometimes a marketplace. Flat-fee systems like CarFast charge only for software access, not a share of revenue.

CarFast is designed for independent rental operators who want full control over pricing and customer relationships without paying ongoing commissions. The system handles reservations, vehicle tracking, and availability but leaves payment processing and customer invoicing to you.

## Custom solutions

For self-hosted deployments or bespoke arrangements, additional charges may apply. See the CarFast terms of service for details on enterprise pricing.

# Does CarFast include a car rental booking engine?

Yes. CarFast includes a **car rental booking engine** so customers can submit reservation requests online. The booking engine lets rental businesses accept online reservations without building custom infrastructure or paying for third-party platforms.

You can deploy the CarFast booking engine in three ways, depending on whether you want a turnkey solution or full control over branding and domain hosting.

## How does CarFast Express work?

CarFast Express refers to the hosted storefront option. Your business gets a public booking page at `rentfa.st/cf/<yourbizname>` or `carfa.st/cf/<yourbizname>`. Customers visit the page, fill out the reservation form with their pickup date, return date, vehicle preference, and contact details, then submit the request.

The request lands directly in your CarFast inbox under the Booking Requests screen. You receive a notification and can review, confirm, or decline the booking from the same interface.

This option is included at no additional charge and requires no technical setup. You simply share the link with customers or add it to your social media profiles.

## Does CarFast support email form sync for existing websites?

Yes. If you already have a booking form on your own website, you can forward incoming emails to CarFast. Each forwarded email is parsed and converted into a structured booking request.

Email form sync is billed at **€0.10** per sync. This option is useful for businesses that want to keep their existing web presence but streamline reservation management inside CarFast.

Set up email forwarding from your domain's admin panel to the address provided in your CarFast account settings. Incoming requests will appear alongside those submitted through the hosted storefront.

## How to take online bookings with a self-hosted booking engine

CarFast also supports self-hosted deployment. With this option, you host the booking engine on your own domain (for example, `bookings.yourdomain.com`) and retain full control over branding, DNS, and page layout.

Self-hosting requires a separate agreement. Contact CarFast for pricing and technical requirements. This option is typically chosen by larger operators or franchises that need white-label solutions.

## Managing incoming reservation requests

All reservation requests—whether they come from the hosted storefront, email sync, or self-hosted engine—appear in the **Booking Requests** screen inside CarFast.

From this screen you can:

- Review customer details, requested dates, and vehicle preferences
- Confirm the booking and send an automated confirmation email
- Decline the request with an optional reason
- Adjust booking engine settings, including available vehicles, pricing rules, and pickup locations

You can also configure email and SMS notifications so you're alerted as soon as a new request arrives.

## Frequently asked questions about the CarFast booking engine

**Can I customize the booking form fields?**
Yes. You can add or remove fields such as flight number, insurance preference, driver's license details, and add-on selections from the booking engine settings.

**Does the booking engine support multiple languages?**
The hosted storefront adapts to the customer's browser language if a translation is available. Self-hosted engines can be configured with custom locales.

**Are confirmed bookings automatically added to my calendar?**
Yes. Once you confirm a booking request, it appears in your CarFast calendar and availability is updated across all channels.

**Can I accept payment through the booking engine?**
Payment collection is not included in the booking engine. Customers submit reservation requests; you collect payment separately through your preferred processor or at pickup.

**Is there a limit on the number of booking requests I can receive?**
No. The hosted storefront and email sync options have no request volume caps. Self-hosted plans may vary.

Does CarFast integrate with AADE myDATA for Greek tax reporting?

Coming soon (planned for Q2 2026). Greek tax reporting car rental integration with AADE myDATA is on the CarFast roadmap. This integration will enable automatic transmission of invoices and receipts to AADE (the Greek Independent Authority for Public Revenue), eliminating manual submission through the myDATA web portal.

What is AADE myDATA and who needs it?

AADE myDATA is Greece's mandatory digital system for real-time tax reporting. All businesses operating in Greece, including car rental companies, must transmit revenue documents (invoices, receipts, and credit notes) electronically to the Greek tax authority.

Car rental operators in Greece are required by Greek tax law to:

  • Submit each rental invoice to AADE within 24 hours of issuance
  • Maintain a digital customer registry tied to tax identification numbers (AFM)
  • Generate compliant receipt codes for every transaction

Until the CarFast myDATA integration launches in Q2 2026, rental businesses must continue their current tax reporting workflow using the AADE portal or third-party accounting software.

How will the myDATA integration work in CarFast?

When released in Q2 2026, the myDATA feature is planned to include:

  • Automatic invoice and receipt transmission to AADE immediately after a booking is finalized, removing the need to export data or manually upload documents.
  • Digital customer registry linked to each booking record, storing customer AFM (tax ID) and required fields.
  • Real-time transmission status showing which invoices have been accepted or rejected by AADE.
  • Audit trail for Greek tax inspections, with timestamped submission records.

How to pay Greek car road tax?

Greek road tax (τέλη κυκλοφορίας) is an annual vehicle circulation tax separate from myDATA invoice reporting. Rental fleet owners must pay road tax for each vehicle registered in Greece.

Road tax is typically paid at:

  • Greek tax offices (DOY)
  • Authorized banks
  • The myTAXISnet online portal

Road tax amounts depend on engine displacement, fuel type, and vehicle age. Electric and hybrid vehicles may qualify for reduced rates.

The CarFast myDATA integration will not handle road tax payments; it focuses on real-time invoice transmission for rental transactions.

How much is the road tax in Greece?

Greek road tax rates vary by vehicle specifications:

  • Petrol vehicles are taxed per 100 cc of engine displacement
  • Diesel vehicles face higher per-cc rates
  • Vehicles over 15 years old receive discounts
  • Electric vehicles are exempt or pay minimal fees

For a typical rental sedan (1,400 cc petrol engine), annual road tax is approximately €100–€200. Larger SUVs and diesel models cost more.

Road tax is separate from AADE myDATA compliance. The myDATA system tracks rental revenue and invoices; road tax is a vehicle ownership obligation paid annually regardless of how much the car is rented.

Does Greece have a tax treaty with the US?

Yes. Greece and the United States have a tax treaty that addresses double taxation on business income, including rental revenue. If you operate a car rental business in Greece as a US entity or individual, the treaty may affect where you owe taxes and at what rate.

The myDATA system applies to all rental businesses operating in Greece, regardless of the owner's country of residence or tax residency status. Even if a treaty reduces your Greek income tax liability, you must still submit invoices to AADE in real time.

Consult a tax advisor familiar with both Greek and US tax law to understand your reporting obligations.

When to expect the CarFast myDATA integration

The myDATA integration is scheduled for Q2 2026. Development timelines may shift; check the CarFast roadmap for updates.

In the meantime, Greek rental operators should continue using their existing tax reporting process—whether that's manual entry in the AADE portal, integration through local accounting software, or a third-party myDATA API provider.

If you operate a car rental business in Greece and want early access or input on the myDATA feature design, contact CarFast support.

Does CarFast offer custom feature development?

Yes. We actively build our car rental software based on feedback from rental operators. If your business needs something that isn't in the platform yet, you can request it.

CarFast is designed to handle the core workflows that rental companies need: fleet management, online booking, payment processing, and customer communication. When operators identify gaps or suggest improvements, we evaluate those requests for the standard roadmap.

What software do car rental companies use?

Car rental companies use specialized rental management platforms to handle reservations, vehicle tracking, customer records, and billing. CarFast provides an all-in-one solution built specifically for rental operators who need a modern, web-based system without legacy complexity.

The platform includes:

  • Online booking with calendar availability
  • Fleet and vehicle management
  • Customer database and rental history
  • Payment processing and invoicing
  • Automated email and SMS notifications
  • Reporting and analytics

These features cover the daily operations of rental businesses, from independent operators with a handful of vehicles to fleets managing dozens of cars.

How much does rental software cost?

CarFast pricing is based on a per-vehicle subscription model with a minimum of €20 per month. Your base subscription covers the full platform as it exists today, including all currently live features.

There are no setup fees, no per-booking transaction fees, and no charges for standard updates or new features added to the platform roadmap. You pay only for the vehicles you manage.

Custom development for highly specific requirements beyond the standard roadmap may involve additional charges. This is a separate conversation based on scope and implementation effort.

How feature requests work

Submit a feature request through the Help Center or contact us directly. We review all requests and prioritize those that solve common problems for many operators.

Requests that align with the needs of the broader rental industry are added to the standard roadmap at no additional cost. All subscribers benefit when new features go live.

Already planned features

Features like myDATA integration and digital contract e-signatures are already committed and planned for Q2 2026. These will be included in the standard platform for all subscribers.

The roadmap is public, and you can see what's coming next. Planned features are delivered as part of your existing subscription.

Bespoke development for specific needs

For highly specific requirements that go beyond the standard roadmap—such as integrations with proprietary systems, custom workflows unique to your business, or regional compliance features—we can discuss custom development separately.

Bespoke work is scoped individually. It may involve additional charges beyond the standard per-vehicle subscription. Contact us to discuss your requirements, timeline, and pricing.

Standard features remain available to all subscribers. Custom development is reserved for use cases that don't fit the shared platform model.

# How do I get support for CarFast?

CarFast is car rental software that includes a built-in Help Center accessible directly from your dashboard. Whether you need self-service documentation, account help, or feature guidance, support is available through multiple channels.

## Built-in help center

The Help Center is available while you're logged in to your CarFast dashboard. You can access self-service documentation for common questions about using the software — fleet management, reservations, customer records, and billing workflows — without leaving the app.

The in-app Help Center lets you search by topic or browse organized sections that correspond to each module in the platform. This documentation covers feature-specific questions so you can find answers while working.

## What software do car rental companies use?

Car rental companies use rental management software to handle reservations, fleet tracking, customer data, and invoicing. CarFast is designed for independent operators and small-to-medium rental fleets.

The software consolidates daily operations into a single dashboard: check-in and check-out, vehicle availability, damage documentation, contract generation, and payment processing. It replaces spreadsheets and disconnected tools with a unified system.

## How much does rental software cost?

Rental software pricing varies by feature set and company size. CarFast uses subscription-based pricing, with costs depending on the number of vehicles in your fleet and active user accounts.

You can review current pricing on the CarFast website. There are no long-term contracts; you pay month-to-month and can adjust your plan as your fleet grows or shrinks.

## Which rental management software is best rated?

CarFast is built for operators who need straightforward fleet and reservation management without enterprise complexity. The platform focuses on the workflow steps that independent rental companies perform daily: booking, contract signing, vehicle hand-off, returns, and billing.

Ratings depend on your specific workflow. CarFast prioritizes speed of common tasks, mobile access for field operations, and transparency in pricing and feature availability.

## Dedicated support

For issues that go beyond the self-service documentation — such as account access problems, billing discrepancies, or questions not covered in the Help Center — CarFast offers dedicated customer support. The team is available to help you resolve account issues and answer questions about the platform.

Support handles account setup, user permission questions, integration troubleshooting, and billing adjustments. You can reach the support team through the contact form in your dashboard or via the email listed in your account settings.

## Custom feature requests

We accept input for features not yet in the product. If your business requires a specific capability — for example, integration with a particular payment gateway, custom reporting fields, or workflow automation — you can raise it with the support team.

Feature requests are logged and reviewed based on operator business needs. We prioritize updates that solve common pain points across multiple rental companies. While we cannot commit to building every request, we use this feedback to guide the product roadmap.

You can submit feature ideas through the Help Center feedback form or by contacting support directly.

# Can CarFast track vehicle damage reports and photos?

**Coming soon (planned for Q2 2026).** CarFast is building car rental damage tracking software as part of the Servicing & Expenses module. This feature will help rental operators document vehicle damage, track maintenance, and manage repair costs in a single system.

Currently, you can record expenses for individual vehicles and view all expense records in the Expenses section of your dashboard. The full damage-report module with statistics and photo documentation is the coming-soon addition.

## What is the app for vehicle damage?

When released, CarFast's Servicing & Expenses module will function as a vehicle damage tracking app integrated directly into your rental management platform. Instead of using separate tools or paper forms, you will be able to document damage within the same system you use for reservations and fleet operations.

The planned damage tracking features include:

- **Damage statistics:** Identify which vehicles generate the most damage reports so you can decide whether to repair, reassign, or retire them from your fleet.
- **Photo upload and documentation:** Attach images to damage reports for insurance claims and customer disputes.
- **Damage history per vehicle:** View the complete damage record for any car in your fleet, organized by date and rental event.

This approach keeps all vehicle information centralized rather than scattered across spreadsheets, text messages, or third-party apps.

## What software do car rental companies use?

Car rental companies typically use fleet management software that combines reservations, billing, and vehicle tracking. CarFast provides these core functions today, with expense tracking already available for each vehicle.

The Servicing & Expenses module will expand CarFast's capabilities to include:

- **Oil change and repair tracking:** Record scheduled maintenance tasks, set reminders, and monitor service intervals to prevent breakdowns.
- **Loan payoff projections:** Calculate expected payoff timelines for vehicles purchased on finance, helping you plan fleet turnover.
- **Expense management:** Track all servicing costs—fuel, repairs, inspections, cleaning—in a single digital record linked to each vehicle.
- **Maintenance cost analysis:** Compare servicing expenses across your fleet to identify high-cost vehicles.

These tools are designed for small and mid-sized rental operators who need straightforward tracking without enterprise complexity.

## How to look up vehicle damage?

Once the Servicing & Expenses module is released, you will look up vehicle damage in CarFast by navigating to the individual vehicle page. Each vehicle will display a damage history tab showing all recorded incidents, attached photos, repair costs, and the rental periods when damage occurred.

The damage statistics dashboard will also let you filter and sort by:

- Date range
- Damage severity
- Repair cost
- Vehicle ID or license plate

This centralized view helps you answer common questions: Which car was dented last month? How much have we spent repairing a specific vehicle this year? Should we continue renting a car with repeated damage claims?

Today, you can already view expense records for each vehicle in the Expenses section. The coming-soon update will add damage-specific categorization, statistics, and photo storage.

## What is available today

You can already record expenses for individual vehicles and view all expense records in the Expenses section of your dashboard. Use this to log repair bills, cleaning fees, or any other servicing cost tied to a specific car.

The full damage-report and servicing dashboard with statistics, photo uploads, and proactive maintenance reminders is the coming-soon addition planned for Q2 2026.

# When will digital contracts be available in CarFast?

**Coming soon (planned for Q2 2026).** Digital contracts car rental functionality is on the roadmap and is not yet available in CarFast. This feature will enable paperless contract signing with e-signature support for rental agreements.

## What the feature will include

When released, digital contracts will let you:

- **Send signing links to customers** — clients can sign remotely before picking up the vehicle, eliminating the need for in-person paperwork.
- **Sign on-site on a tablet or phone** — customers sign at the time of vehicle handover using any touch-enabled device.
- **Maintain a digital trail** — all signed contracts are stored automatically in CarFast with timestamps and audit logs.
- **Search and retrieve instantly** — locate any contract by customer name, date, vehicle, or agreement terms without sorting through paper files.

## Can car dealerships do DocuSign?

Yes, car dealerships and rental companies can use DocuSign and similar e-signature platforms to digitize contracts. Many rental operators currently integrate third-party e-signature tools into their workflows.

CarFast's planned digital contract feature will provide native e-signature capability inside the platform, eliminating the need to export documents to external services. You'll be able to generate, send, and store signed rental agreements without switching applications.

Until Q2 2026, you can continue using external e-signature tools alongside CarFast for contract signing.

## How does CarFast Express work?

CarFast Express is not a separate product. CarFast is a rental management platform that handles reservations, fleet tracking, billing, and customer records in one system.

The upcoming digital contracts feature will integrate directly into the existing rental workflow. When you create a reservation, you'll have the option to generate a contract and send it for e-signature or present it on a device at pickup.

## Why digital contracts matter for rental operations

Paper contracts require printing, physical storage, and manual retrieval. Each printed contract consumes supplies and requires secure filing space. When a customer dispute arises or an audit occurs, locating a specific paper agreement can take hours.

Digital contracts remove those steps and give you a searchable record of every signed agreement. You can pull up any contract in seconds, email copies to customers instantly, and eliminate storage costs.

Customers also benefit from faster pickups. Remote signing means they arrive, grab keys, and leave—no waiting while staff prints and explains multi-page forms.

## What you need to do now

Until the feature launches in Q2 2026, you'll manage contracts outside CarFast using your existing process. If you currently use paper contracts, consider setting up a scan-and-archive workflow so you have digital backups ready to import when the feature goes live.

If you already use a third-party e-signature tool, continue with that system. CarFast will not automatically migrate contracts from external platforms, but you'll be able to attach existing signed PDFs to customer records for reference.

No action is required to prepare for the digital contracts feature. It will appear in your CarFast dashboard when released, with setup instructions and template options included.

# How does email form sync work in CarFast?

CarFast is car rental booking software that accepts reservation requests through email forwarding. If you already have a contact or booking form on your website, you can forward the emails it generates to CarFast. Each forwarded email is parsed and displayed as a reservation request in your requests inbox.

## What software do car rental companies use?

Car rental companies use management software to track vehicles, reservations, customer communications, and billing. CarFast provides these core functions plus email integration, so booking requests from your existing website form appear alongside direct bookings in a single dashboard.

The system processes emails forwarded from your website and converts them into structured reservation records. You can then respond, confirm availability, and manage the booking without switching between email and your rental system.

## How to set up auto email forwarding?

To set up email forwarding for your booking form:

1. CarFast provides a dedicated email address when you enable the feature in your account settings.
2. Configure your website form (or email client) to forward booking notification emails to that address.
3. Each forwarded email triggers a sync operation—CarFast parses the content and creates a reservation request record.
4. The request appears in the Booking Requests section of your dashboard.

Email sync is billed at **€0.10 per sync operation**. You pay only for emails that are actually processed—there is no separate monthly subscription for this feature.

## How do I send a booking confirmation email?

After a customer submits a booking enquiry via your website form and the email is forwarded to CarFast, you review the request in the Booking Requests section. From there, you can:

- Check vehicle availability against your fleet calendar.
- Reply to the customer directly from the dashboard.
- Confirm the reservation and send a confirmation message.

CarFast displays all the parsed details from the forwarded email, so you have the customer's contact information, requested dates, and vehicle preferences in one place.

## Alternative: no email needed

If you do not have an existing website form, the included hosted booking page at `rentfa.st/cf/<yourbizname>` routes requests directly into CarFast with no email forwarding involved. Customers complete their enquiry on the hosted page, and the request appears in your dashboard immediately at no per-request cost.

This option is useful if you are setting up a rental operation without a dedicated website or want to test the system before integrating with your existing site.

## What it costs

Email sync is a pay-per-use feature:

- **€0.10 per sync operation** for each email processed.
- No recurring fee for the email forwarding capability itself.
- The hosted booking page at `rentfa.st/cf/<yourbizname>` has no per-request charge.

You only pay when an email is forwarded and parsed by the system. If you receive ten booking enquiries by email in a month, the cost is €1.00 for email sync.

# How do I get my business listed on RentFast?

Every CarFast operator receives a car rental online booking page on the RentFast platform automatically. There is no separate application or approval process—your booking page is included with your CarFast account from day one.

## Your booking page URL

Your public booking page is available at two addresses:

Replace `yourbusiness` with your account's URL slug. For example, Icarian Wheels is accessible at `https://rentfa.st/cf/icarianwheels`.

## What is the best booking site for car rentals?

The best booking site depends on your business model. RentFast is designed for independent car rental operators who want a simple, no-cost listing that connects directly to their fleet management system. Unlike third-party booking platforms that charge commission fees or listing fees, RentFast is included with CarFast at no additional cost.

Your RentFast page displays your locations and allows customers to submit booking requests that appear directly in your CarFast **Booking Requests** inbox. You maintain full control over pricing, availability, and customer communication.

## What is the smartest way to book a car rental?

For operators, the smartest approach is to offer customers a direct booking channel that avoids intermediary fees. The RentFast booking page lets customers request vehicles directly from your fleet without routing through aggregators.

When customers visit your RentFast page, they see your current locations and can complete a booking request form. These requests are delivered to your CarFast inbox, where you can review, approve, or modify them before confirming the reservation.

This direct-to-operator workflow reduces friction for both you and the customer, and eliminates commission costs that would otherwise reduce your margin on each rental.

## Is it cheaper to book a rental car online or in person?

Online booking pages typically reduce overhead for operators because they automate customer intake and availability checks. RentFast displays your fleet availability in real time, so customers can see which vehicles and time slots are open without requiring phone calls or email exchanges.

Because the RentFast page is integrated with your CarFast fleet calendar, booking requests reflect current availability, reducing the chance of double-booking or manual scheduling errors.

For customers, an online booking page provides transparency: they can browse your fleet, check rates, and submit requests at any time, rather than being limited to business hours.

## Self-hosted option

If you prefer to serve the booking page on your own domain, contact CarFast for pricing on the self-hosted variant. This option allows you to embed the booking functionality under your own branding while retaining the same integration with your CarFast fleet management system.

## How customers find your listing

Customers can access your RentFast booking page by visiting the URL you share in your marketing materials, on your website, or through social media. The page does not require customers to create an account or log in—they can submit a booking request immediately.

Once a request is submitted, you receive it in your CarFast dashboard, where you can communicate with the customer, finalize pricing, and confirm the reservation.

Your RentFast booking page provides a complete, ready-to-use car rental online booking page for your business without additional setup or subscription fees.

# How long does it take to get started with CarFast?

Car rental software setup with CarFast is fully self-service and takes minutes, not days. You can register, verify your account, and start configuring your rental business in a single session—no onboarding call or waiting period required.

## How long does car rental software setup take?

CarFast account creation takes three steps:

1. **Sign up** — Enter your name, email, and a password (at least 6 characters).
2. **Verify** — Check your inbox and click the confirmation link to verify your email address.
3. **Log in** — Access your dashboard and begin configuring your rental operation.

After your initial sign-up, you can also log in by requesting a link sent to your email—no password needed.

Most small and medium rental operators complete their initial setup within a few hours.

## What do I need to start a car rental business?

Once you log in to CarFast, you can configure the core elements of your rental business:

- **Vehicles** — Add your fleet with details like make, model, year, license plate, and daily rental rate.
- **Locations** — Set up pickup and drop-off addresses for your service area.
- **Staff accounts** — Create logins for team members who will manage bookings and vehicle handoffs.
- **Billing plan** — Review your subscription. The €20/month minimum applies from your first billing cycle.

Each of these areas is accessible from your dashboard immediately after email verification. There is no approval process or manual review before you can start accepting bookings.

## Can I set up a rental business without technical help?

Yes. CarFast is designed for rental operators who want to launch without hiring developers or consultants. The platform guides you through vehicle entry, location setup, and staff configuration using straightforward web forms.

You do not need:

- A separate website (CarFast provides a booking page)
- Payment gateway integration (handled automatically)
- Custom code or API keys
- IT support or onboarding assistance

If you can use email and fill out web forms, you can set up CarFast. The interface is identical to the tools rental operators already use for email or spreadsheets—no specialized training required.

## How quickly can I start taking bookings?

Once you have added at least one vehicle and one location, your booking page is live. Customers can search availability, select a rental period, and complete payment immediately.

There is no waiting period for account approval, payment processor review, or manual configuration by CarFast staff. Your rental operation is active as soon as you finish entering your fleet and location details.

For operators migrating from spreadsheets or another platform, the time to go live depends on how many vehicles you need to enter. A fleet of 10 vehicles typically takes 30–60 minutes to add, including photos and pricing rules.

## What happens after setup?

After your initial configuration, you can:

- Share your booking page URL with customers
- Receive email notifications when new reservations are made
- Use the dashboard to view upcoming pickups and returns
- Add or remove vehicles as your fleet changes
- Invite additional staff members with role-based access

CarFast does not require a go-live checklist, launch approval, or post-setup training. If you need to adjust your vehicle list, pricing, or locations later, you can do so at any time from the same dashboard.

# Does CarFast support insurance tracking?

Yes. CarFast includes an Insurance section where you define the insurance packages you offer for rental cars—things like "Basic Damage Waiver," "Full Cover," or "Third Party Only." Each package has a name and a cost, and you can attach any package to a booking so you always know which coverage the renter selected.

## How does insurance work on rental cars?

When a customer rents a vehicle, they typically choose one of several insurance tiers you offer. CarFast lets you configure these tiers in advance: you set the package name (for example, "Collision Damage Waiver" or "Liability Only") and the daily or per-booking cost. At the time of booking, you or the renter selects the appropriate insurance package, and the cost is added to the total.

This approach gives you flexibility to offer multiple coverage levels—from minimal third-party liability to comprehensive protection—and to price each tier according to your underwriter's requirements or your own risk appetite. The system records which package was selected on every booking, so you have a complete audit trail for insurance claims and reconciliation.

## How do car rental companies verify insurance?

Car rental operators need to track which insurance option a renter has purchased and whether any external policies (such as a renter's personal auto insurance or a credit-card waiver) apply. CarFast stores the selected insurance package directly on the booking record, so when you pull up a reservation you immediately see the coverage tier and cost.

If you accept external insurance (for instance, a customer who declines your packages because their credit card provides coverage), you can create a package named "External/Declined" with a zero cost and assign it to the booking for record-keeping. This way every rental has an insurance status on file, which simplifies incident reporting and helps you demonstrate due diligence to underwriters or auditors.

## Should you take out extra insurance when renting a car?

From an operator's perspective, offering tiered insurance packages gives renters the choice to upgrade their coverage. Many customers arrive with only basic liability insurance or none at all, and they may want to add collision or comprehensive protection for the rental period.

CarFast lets you configure as many tiers as you need—for example:

- **Third Party Only** – meets minimum legal requirements.
- **Basic Damage Waiver** – reduces the renter's liability for vehicle damage.
- **Full Cover** – zero deductible, covers most incidents.

By presenting these options clearly at the point of booking, you help renters make informed decisions and reduce disputes over who pays for damage. The system tracks which tier was selected and what it cost, so both you and the renter have a record.

## What you can do in CarFast

- **Add new insurance options** – create packages with custom names and pricing.
- **Edit existing options** – update the name or cost whenever your underwriter changes rates.
- **Delete options you no longer offer** – keep your list current.
- **View all packages in one place** – see every insurance tier you've configured.
- **Assign a package to each booking** – ensure every rental has a coverage record.

## Admin access

If you run a multi-operator account, superadmins can view the insurance options configured for each operator. This is useful for franchise or fleet-management scenarios where different locations may offer different coverage tiers or pricing.

You can define as many insurance tiers as your business needs. The system stays flexible to match how you price and package coverage, whether you self-insure, work with a third-party underwriter, or accept external policies.

Is my data secure in CarFast? What about GDPR?

Yes. CarFast provides car rental software security that protects both your business account and your customer data. All connections are encrypted, and your information is stored securely on our servers.

How CarFast protects your account

You can log in with your email and password, or use passwordless sign-in. With passwordless authentication, we email you a one-time link that expires immediately after use. This prevents unauthorized access even if someone intercepts the link later.

Your session data is encrypted in transit using HTTPS. CarFast does not store your password in plain text, and all authentication tokens expire after your session ends.

Is it safe to share customer data through CarFast?

CarFast handles customer booking data with the same encryption standards used by financial services. When your customers submit a booking through your public page, their information travels over an encrypted connection and is stored with access controls that limit who can view it.

Your public booking page automatically includes privacy and cookie consent pages that customers can review before they complete a reservation. These consent mechanisms help you meet GDPR requirements for transparency and data collection.

How can I avoid GDPR compliance issues with rental car bookings?

CarFast gives you the tools to stay GDPR-compliant, but you remain the data controller for your customers' information. The platform provides:

  • Privacy policy pages linked from your booking form, so customers know how their data will be used
  • Cookie consent controls that let visitors accept or decline tracking before booking
  • Transparent data collection with no hidden fields or third-party data sharing without your knowledge

You are responsible for keeping your privacy policy accurate and for responding to customer data requests (access, deletion, or portability).

What happens when a customer requests data deletion?

For questions about data retention, deletion rights, or specific GDPR requests from your customers, contact CarFast support directly. We will help you meet your legal obligations and process customer requests according to GDPR timelines.

If you need to export a customer's data or permanently delete their records, support can guide you through the process or handle it on your behalf.

How to protect your own business data in CarFast

Keep your CarFast account secure by:

  • Using a strong, unique password or enabling passwordless sign-in
  • Not sharing your login credentials with unauthorized staff
  • Logging out on shared devices
  • Reviewing your booking page privacy settings regularly

CarFast does not sell or share your business data with third parties for marketing purposes. Your customer list, pricing, and fleet details remain private to your account.

# How do I switch from another car rental software to CarFast?

Switching car rental software to CarFast doesn't require a formal migration process. You can sign up, add your vehicles, and start taking bookings without importing old data from your previous system.

CarFast is designed for rental operators who want to move quickly. Whether you're leaving a legacy system or setting up your first online booking platform, the setup process is the same.

## What software do car rental companies use?

Car rental companies use a range of software platforms depending on their size and needs. Enterprise fleets typically run custom-built systems or enterprise resource planning (ERP) platforms with rental modules. Independent and small-to-mid-size operators often choose cloud-based rental software like CarFast, which handles online bookings, vehicle tracking, customer management, and payments in one place.

CarFast is built for operators who need a working booking page quickly, without the overhead of enterprise systems. You don't need IT staff to deploy it or maintain it.

## Does switching require migrating historical data?

CarFast does not include a bulk data importer at this time. You start fresh: create your account, add vehicles, configure locations, and build your customer list as new bookings come in.

If you operate a large fleet and need to bring over hundreds of past bookings or customer records, contact CarFast support to discuss manual import options. For most operators, starting clean is faster and simpler than wrestling with CSV exports and field mapping.

## How does CarFast compare to enterprise rental software?

Enterprise rental platforms—used by companies like Hertz and Enterprise Rent-A-Car—are built for franchise networks, airport counters, and complex fleet logistics. They require dedicated IT teams, lengthy implementations, and often charge per-location or per-user fees.

CarFast takes the opposite approach. You pay €20/month minimum, based on vehicle usage, and the entire system runs in your browser. There are no multi-month rollouts, no on-premise servers, and no training seminars. You can have a live booking page the same day you sign up.

## Getting started step by step

1. **Create your account** — Register with your name, email, and password.
2. **Add your vehicles** — Enter each car, motorcycle, or bicycle in your fleet. Include make, model, license plate, and any features customers should know about.
3. **Configure locations** — Set up your pick-up and drop-off points. If you operate from one garage or lot, add a single location. Multi-location operators can add as many sites as needed.
4. **Add customers** — Create customer records manually as bookings arrive. CarFast stores contact details, driver's license information, and rental history.
5. **Activate your booking page** — Your online storefront is live as soon as you finish setup. Share the link, embed it on your website, or link it from social media.

## Pricing during setup

The €20/month minimum starts with your first billing cycle. Vehicles you've added but haven't rented yet are not billed. You only pay for active rental activity, so you can set up your entire fleet and test the system before you incur usage charges.

## When to switch

Switching car rental software makes sense when your current system is too expensive, too slow, or requires manual workarounds for online bookings. If you're still taking reservations by phone or email because your software doesn't offer a public booking page, CarFast eliminates that bottleneck.

Operators also switch when they need transparent pricing. CarFast charges per vehicle per rental day, with no hidden fees for payment processing, customer support, or software updates.

## What happens to your old system

You control the cutover. Many operators run CarFast in parallel with their old software for a week or two, taking new bookings in CarFast while honoring existing reservations in the legacy system. Once the old bookings clear, you can cancel the previous provider.

CarFast doesn't lock you in. If you decide it's not the right fit, you can export your data and stop your subscription at any time.

What is the CarFast minimum monthly fee?

The CarFast minimum fee is €20 per month. This subscription floor ensures you maintain access to the platform even during months when your usage-based charges fall below that amount. CarFast calculates your monthly bill as the greater of your actual usage or the €20 minimum—whichever is higher.

How does CarFast pricing work?

CarFast uses a pay-per-active-vehicle model with a monthly minimum. Your bill each calendar month is determined by:

  1. Usage-based total: the number of active vehicles × the per-vehicle rate (€3 for cars, €2 for motorcycles), or
  2. The €20 minimum, if your usage total is lower.

Each calendar month is billed independently. There is no annual contract or up-front commitment.

Per-vehicle rates

  • Cars: €3 per active vehicle per month
  • Motorcycles: €2 per active vehicle per month

A vehicle is considered "active" in any month it has at least one reservation or booking.

When do I pay more than the minimum?

You exceed the €20 minimum once your active-vehicle count pushes your usage-based total above €20.

Worked examples

Active vehiclesCalculationYou pay
7 cars7 × €3 = €21€21
2 cars2 × €3 = €6€20 (minimum)
8 motorcycles8 × €2 = €16€20 (minimum)
10 cars10 × €3 = €30€30
5 cars + 4 motorcycles(5 × €3) + (4 × €2) = €23€23

The minimum acts as a subscription floor. Any month your fleet activity generates more than €20 in charges, you pay the actual usage amount.

What does the CarFast minimum cover?

The €20 monthly minimum guarantees continuous access to:

  • Dashboard and analytics: view bookings, revenue, and fleet utilization in real time.
  • Booking timeline: full reservation history and upcoming schedules.
  • Staff accounts: unlimited user seats for your team.
  • Customer portal: self-service booking interface for your renters.
  • Payment processing: integrated Stripe payments (standard Stripe fees apply).
  • Vehicle and customer management: add, edit, and archive vehicles or customer records.
  • Support and updates: access to help documentation and platform improvements.

Even if you have zero active vehicles in a given month—for example, during a seasonal closure or maintenance period—you retain full platform access and your account remains open.

Low season and idle months

If no vehicles record any reservations in a calendar month, you still pay the €20 minimum. This keeps your account active, preserves your data, and allows you to accept bookings the moment demand returns. You can always pause or cancel your subscription if you anticipate an extended period without rentals.

Billing frequency and cancellation

CarFast bills monthly. Each month stands alone; there is no obligation to prepay or commit to multiple months. You may cancel at any time, and the cancellation takes effect at the end of your current billing cycle. No early-termination fees apply.

Comparing the minimum to usage-based billing

Many car rental software platforms charge flat per-vehicle fees regardless of activity. CarFast's minimum ensures:

  • Fair pricing for small fleets: if you run 1–6 vehicles, you pay a predictable €20 rather than being charged per vehicle when some sit idle.
  • Scalability: larger fleets automatically pay only for vehicles that generate reservations, avoiding overpayment for inactive inventory.
  • Flexibility: during off-peak months, your costs remain capped at €20 instead of scaling linearly with fleet size.

The €20 floor balances platform sustainability with user-friendly economics for small and seasonal operators.

Summary

  • The CarFast minimum fee is €20/month.
  • You pay €20 or your usage total, whichever is higher.
  • Active vehicles cost €3 (cars) or €2 (motorcycles) per month.
  • The minimum covers full platform access, including dashboard, bookings, staff accounts, and support.
  • No annual contract—billing is month-to-month, and you can cancel anytime.

If your fleet regularly exceeds 7 cars or 10 motorcycles per month, you will pay usage-based rates above the minimum. Smaller or seasonal operations benefit from the €20 cap during slower periods.

Does CarFast support multiple locations?

Yes. CarFast car rental management software includes a dedicated Locations section where you manage all your rental branches or pick-up and drop-off points under a single account.

When customers book through your storefront, they see your full list of locations and can choose where to pick up and return their vehicle. Each location you configure appears as an option in the booking form.

What is the software for car rental management?

Car rental management software handles reservations, fleet tracking, pricing, customer records, and payment processing for rental businesses. CarFast is a web-based platform that combines these functions with support for multiple branches, custom storefronts, and booking management—all from a unified dashboard.

The software allows operators to configure each location independently, assign vehicles to specific sites, and track availability across all branches in real time. Users access the system through a browser without installing separate applications at each location.

Can you rent a car and drop it off at a different location?

CarFast supports one-way rentals where the pick-up and drop-off locations differ. When you add multiple locations to your account, customers see separate drop-down menus for pick-up and return sites during the booking process.

You control which location pairs allow one-way trips. Some operators enable this feature between all branches, while others restrict it to specific routes (for example, airport to town centre but not the reverse).

Each booking records both the origin and destination location, making it straightforward to track where vehicles need repositioning.

What is ERP in car rental?

ERP (Enterprise Resource Planning) refers to integrated software that manages core business processes—accounting, inventory, human resources, and customer relationships—in a single system. In car rental, ERP systems typically focus on fleet purchasing, maintenance schedules, financial reporting, and multi-site coordination.

CarFast handles the rental-specific workflows: reservations, vehicle assignments, location management, and customer-facing storefronts. It is not a full ERP but integrates with accounting and payment systems to cover the operational side of running a rental business.

Common use cases for multiple locations

  • Businesses with offices in multiple towns or ports
  • Island operators offering airport, port, and town-centre pick-up
  • Fleet owners who separate vehicles by physical site
  • Franchise or multi-branch operations managed under one account

If you have superadmin access, you can view and manage locations for any account from the admin dashboard. There is no stated limit on how many locations you can add.

Each location record stores an address, operating hours, and contact details that appear on your public storefront, helping customers identify the most convenient pick-up point before they complete a booking.

# When will the myDATA integration be available in CarFast?

**Coming soon (planned for Q2 2026).** The CarFast myDATA integration is scheduled for release in Q2 2026. This feature will connect CarFast directly to AADE (the Greek Independent Authority for Public Revenue) and automate the transmission of invoices and receipts from your rental bookings.

## What is myDATA and why does it matter for car rental businesses?

myDATA is the digital platform operated by AADE that Greek businesses use to report transactions in real time. Every business renting vehicles in Greece must transmit invoice and receipt data to this system.

Without automation, you export transaction data from your booking software, then manually upload XML files or re-enter information into the myDATA portal. This creates reconciliation errors, delays, and duplicates the effort of recording each rental.

The CarFast myDATA integration eliminates this double-entry by pushing invoices and receipts directly from your bookings to AADE as soon as they are finalized.

## How will CarFast automate AADE tax reporting?

Once live, the integration will:

- **Transmit invoices and receipts automatically** when a booking is confirmed or a payment is recorded.
- **Link each document to the customer record** in your CarFast account, so the digital customer registry required by AADE stays synchronized with your rental history.
- **Store transmission logs** so you can verify that AADE received each document and troubleshoot any rejections.

You will still review and approve rental agreements and pricing inside CarFast. The integration handles only the final step: sending the legally required data to the tax authority.

## What should I do for Greek tax compliance before the integration launches?

Continue your current workflow for reporting to AADE. Export booking and invoice data from CarFast (or your existing system), then upload it to the myDATA portal manually or through any third-party tool you already use.

We will announce the Q2 2026 release date at least 30 days in advance. At that point, documentation and migration instructions will be available so you can switch over without losing transaction history or creating duplicate filings.

If you have specific myDATA requirements—such as multiple VAT regimes, branch locations, or bulk invoice corrections—contact support. We are collecting use cases now to prioritize which scenarios the first release will cover.

## Why this feature is on the roadmap

Greek car rental operators have told us that manual myDATA reporting is the single largest administrative task outside customer communication. Automating it removes one reconciliation step per booking and reduces the risk of missing the legal filing deadline.

The integration also prepares CarFast for future AADE requirements, including real-time payment method reporting and e-receipt QR codes, both of which build on the myDATA transmission layer.

How much does CarFast cost?

CarFast uses car rental software pricing that charges only for vehicles that generate bookings. You pay only for vehicles that actually get rented each month. If a vehicle has at least one reservation in a calendar month, it counts as active and you're billed for it.

This pay-per-rental pricing model means your software costs scale directly with your business activity. During slower months, you pay less. During busy seasons, you pay only for the vehicles customers are booking.

How much does car rental software cost?

The monthly rate depends on the type of vehicle that was rented:

Vehicle typeCost per active vehicle
Car€3
Motorcycle / Quad€2
Bicycle€1

You can register as many vehicles as you want in the system. Only vehicles with at least one reservation that month are billed. Vehicles that sit idle cost nothing.

What is pay-per-rental pricing?

Pay-per-rental pricing means you're charged based on usage, not a flat subscription fee. Traditional car rental management software often charges per user, per location, or a fixed monthly fee regardless of how many vehicles you rent.

With usage-based car rental software like CarFast, the cost is tied directly to the vehicles customers book. A vehicle only counts as "active" if it has at least one confirmed reservation during the billing month. This makes the pricing model predictable and fair for small operators and seasonal businesses.

Are there minimum fees for rental software?

Yes. If your total monthly bill comes to less than €20, CarFast charges €20 instead. This minimum covers the infrastructure costs of hosting your fleet data, handling search requests, and processing reservations even during quiet months.

The €20 minimum ensures the platform remains available year-round, so you're ready to accept bookings whenever demand returns.

Pricing example

You have 200 cars registered in CarFast. In a slow month, only 3 of those cars receive bookings. Your bill calculation:

  • 3 cars × €3 = €9
  • Because €9 is below the €20 minimum, you pay €20 for the month

In a busy month where 50 cars are rented:

  • 50 cars × €3 = €150
  • You pay €150 (the minimum doesn't apply)

Email sync add-on

If you forward booking-form emails into CarFast, the system can automatically parse them and create reservations. This optional feature costs €0.10 per email that is successfully processed and synced. You only pay for emails that CarFast can read and convert into bookings—unrecognized or spam emails are not billed.

This add-on is useful if you receive reservations from multiple channels (your website, third-party platforms, phone inquiries) and want them all centralized in one system without manual data entry.

No per-user fees or long-term contracts

CarFast does not charge per staff member or require annual commitments. Whether you have one employee or twenty, the cost remains the same: you pay only for the vehicles that were rented that month. You can stop using the service at any time without cancellation penalties.

# Does CarFast support staff accounts and access permissions?

Yes. CarFast car rental staff management software lets you create team accounts and control exactly what each staff member can see and do. You can add employees with individual logins, set permission levels by role, and enable or disable access without deleting accounts.

## How do I add staff to my car rental software?

Each staff member in CarFast gets a username, phone number, and PIN for login. You can create new accounts from the Staff page and configure their details:

- **Username** — the staff member's display name in the system
- **Phone number** — contact information and optional login identifier
- **PIN** — a numeric code the employee uses to sign in
- **Status** — enable or disable accounts without deleting them

Disabling accounts is useful for seasonal workers, temporary staff, or employees on leave. The account and its activity history remain in the system, but the employee cannot log in.

## What permissions should staff have in a car rental business?

CarFast uses permission groups to bundle access rules by role. Instead of setting permissions individually for each employee, you create named groups that match your team structure.

Common permission group examples:

- **Front Desk** — booking access, payment processing, customer check-in and check-out
- **Mechanic** — vehicle maintenance screens, service records, fleet status
- **Manager** — reports, pricing changes, staff management, full booking access
- **Accountant** — financial reports, payment history, invoice management

You can create as many groups as your business needs and adjust permissions at any time.

## How does PIN login work for car rental employees?

Staff members sign in using their assigned PIN. This login method is fast for shared terminals or tablet check-in stations where multiple employees need quick access throughout the day.

Each PIN is unique to one staff member, so all actions in the system are logged to the correct account. If an employee leaves or their PIN is compromised, you can change it or disable the account immediately.

## Managing permission groups

Permission groups in CarFast let you:

- **Create named groups** — define roles that match your business structure
- **Set granular permissions** — control access to bookings, payments, vehicles, reports, and settings
- **Assign staff to groups** — each employee belongs to one group at a time
- **Change assignments** — move staff between groups as roles change
- **Mark superuser groups** — grant full system access to managers or owners

Staff without an assigned group are automatically blocked from restricted areas. This default-deny approach ensures new accounts don't accidentally inherit permissions before you've configured their role.

## Why use staff accounts and permissions?

Multi-user access with role-based permissions helps you:

- Track which employee processed each booking, payment, or vehicle change
- Limit financial data visibility to authorized staff
- Prevent accidental changes to pricing, fleet, or system settings
- Maintain accountability across front-desk, maintenance, and management teams
- Onboard new employees quickly by assigning them to an existing permission group

CarFast stores all staff activity logs, so you can audit actions if questions arise about a booking, payment, or customer interaction.

# What counts as an "active" vehicle in CarFast?

CarFast **car rental software billing** is usage-based: you pay only for vehicles that generate reservations. A vehicle is counted as **active** for a given month if it has **at least one reservation** recorded in that month. Only active vehicles are billed.

## How does car rental software billing work in CarFast?

CarFast charges a flat monthly rate per active vehicle, determined by vehicle type. There are no hidden fees, no per-booking charges, and no per-day transaction costs on top of the monthly rate.

**Billing cycle:** Each calendar month is evaluated separately. If a vehicle records at least one reservation during that month, it becomes active and you are billed the corresponding monthly rate for that vehicle type.

**Monthly minimum:** A €20 minimum applies to your account each month, regardless of how many active vehicles you have. If your total usage falls below €20, you pay €20.

## What counts as an active vehicle?

A vehicle qualifies as active in a month when it has **one or more reservations** in that month. The reservation can be:

- A single one-day rental
- A multi-week booking
- A partial-month reservation that starts or ends in that month

Even a vehicle with a single booking for one day is billed at its full monthly rate for that month.

## Do I pay for vehicles with no reservations?

No. A vehicle sitting in your fleet with **zero reservations** in a month is **not billed**. You can register as many vehicles as your fleet requires in CarFast; only those that actually generate bookings in a given month contribute to your bill.

This makes CarFast pricing transparent and aligned with your actual usage. If a vehicle is out of service, undergoing maintenance, or simply idle, you pay nothing for it during those months.

## Per-type rates for active vehicles

| Vehicle type | Monthly rate (per active vehicle) |
|---|---|
| Car | €3 |
| Motorcycle / Quad | €2 |
| Bicycle | €1 |

These rates apply once a vehicle becomes active. There is no additional per-booking or per-day charge.

## Fleet size and registration

You can register an unlimited number of vehicles in CarFast. Vehicles added to the system but without any reservations in a month do not contribute to your bill for that month.

The monthly minimum of €20 ensures predictable baseline costs, even for smaller operators or seasonal fleets.

## Example billing scenarios

**Scenario 1:** You have 10 cars registered. In March, 7 cars have at least one reservation each. You are billed for 7 active cars: 7 × €3 = €21.

**Scenario 2:** You have 5 motorcycles registered. In April, only 1 motorcycle is rented once. You are billed for 1 active motorcycle: 1 × €2 = €2, but the monthly minimum applies, so you pay €20.

**Scenario 3:** You have 50 vehicles registered. In May, 40 have bookings. You are billed for 40 active vehicles at their respective rates.

This usage-based model ensures you only pay for the software capacity you actually use each month.
